Administrative Assistant

We are looking for an office administrative who is self-motivated and detail oriented.  We are a small construction company, so the daily duties and responsibilities will cross many traditional positions, but mainly doing administrative computer tasks with internet-based software.  You will be working directly with the owner of the company and senior project management.   

Responsibilities will include:

  • Assist with project coordination, scheduling, documentation, quality, and safety for all aspects of assigned projects
  • Report progress and updates to CB project managers and executive staff
  • Format budgets and track budgets
  • Track and assist with contract compliance, including signatures, insurance, documentation, and reporting.
  • Obtain and track subcontractor lien releases with invoices.
  • Assist with payment applications, owner and subcontractor invoicing, lien releases, and lien release preparation.
  • Maintain files and file documents.
  • Prepare and issue subcontracts to qualified subcontractors
  • Issue subcontract change orders
  • Coordination with project owners
  • Assist with coordinating subcontract change orders
  • Take notes, create, read and review meeting minutes
  • Assist with change order preparation and tracking
  • Provide leadership
  • Assist with distribution of project schedules
  • Assist with distribution of short interval schedules
  • Assist with daily reports or logs of activities
  • Review of project submittals and coordination with in place work.
  • Coordinate change orders into scope of project
  • Occasionally perform various labor tasks when needed, including office clean-up, get office supplies, take jobsite photos, or other general labor needs.

Qualifications and Skills:

  • Previous experience in office administration and/or construction management.
  • Willingness to be trained and learn.  Open to learning new software.
  • Desire to work in an office, this is not a remote or hybrid position.
  • Must be proficient in Microsoft products such as Word, Excel, Notes, etc.
  • Have some familiarity with any of the construction management software out there – Prolog, Procore, Project Sight, or other is a plus.
  • Be familiar with Bluebeam and/or Adobe products for PDF modifications
  • Be able to prioritize and organize tasks and take them to completion.
  • Work independently as well as within a team.

Details of Position:

  • Location is in Paso Robles, CA.
  • This is a full-time position.
  • Compensation is either salary or hourly, depending on the person.
  • The rate of compensation will start at $25/hour and up depending on your skill level.
  • We offer sick, vacation, and holiday pay for qualified personnel
  • You may join the 401k after 1 year of employment.
  • We do not offer any health insurance benefits of any kind.
