Office Manager

Part-Time to Full-Time (Flexible)
San Luis Obispo, CA

We are an established boutique architecture firm in San Luis Obispo, CA, seeking an experienced Office Manager/Bookkeeper to join our team. This role is central to the smooth day-to-day operation of the firm and offers flexibility in hours, part-time to full-time, depending on the individual`s experience, abilities, and interest in taking ownership of the role.

This position is ideal for someone who enjoys working in a professional, design-oriented environment and is comfortable managing multiple responsibilities with discretion, accuracy, and initiative.


Responsibilities

Office Management

  • Oversee daily office operations to ensure a well-organized, efficient, and professional workplace
  • Serve as the primary point of contact for vendors, consultants, and service providers
  • Manage office supplies, subscriptions, and general administrative needs
  • Assist principals and staff with scheduling, coordination, and special projects as needed
  • Support HR-related tasks such as onboarding, offboarding, benefits coordination, and staff records

Bookkeeping & Financial Administration

  • Manage accounts payable and receivable
  • Prepare and send client invoices; track payments and follow up as needed
  • Coordinate with QuickBooks online staff to reconcile bank and credit card accounts
  • Coordinate with QB online staff to maintain accurate financial records and reports
  • Coordinate with QB for payroll, quarterly filings, and year-end reporting
  • Assist with budget tracking, cash flow monitoring, and basic financial analysis

Project & Industry-Specific Support

  • Assist with project setup, contracts, insurance certificates, and consultant payments
  • Track project billing, retainers, and reimbursable expenses
  • Support timekeeping and expense reporting systems

Qualifications

Required

  • Proven experience in office management and/or bookkeeping
  • Strong organizational skills and attention to detail
  • Proficiency with accounting software (e.g., QuickBooks or similar) and Microsoft Office / Google Workspace
  • Ability to work independently, prioritize tasks, and maintain confidentiality

Preferred

  • Experience working in an architecture, structural engineering, construction, or adjacent professional services firm
  • Familiarity with project-based billing and consulting contracts
  • Basic understanding of California employment practices
