Position Description Position: Church Secretary
Specific Responsibilities:
1. Performs skilled secretarial work for the pastors.
2. Supervises activities of volunteer office helpers.
3. Makes appointments for pastors as required.
4. Schedules room reservations in the office and other areas of the church complex.
5. Establishes and maintains the master calendar for the church.
6. Composes correspondence as required.
7. Maintains confidentiality of relationships and records.
8. Participates in staff meetings.
9. Transcribes dictation and types rough drafts; reproduces a variety of materials.
10. Types and reproduces orders of worship, the newsletter, and monthly church calendar.
11. Maintains complete records of weekly worship attendance.
12. Maintains a currents church directory.
13. Processes bills for approval by pastor or other officials of the church.
14. Orders supplies as needed.
15. Performs any other normal office procedures as required.
Accountability:
1. Administratively responsible to the Senior Pastor.
2. Does work only for the Senior Pastor, Associate Pastor, Pastoral Intern, and Director of Christian Education or Youth Work and refers any other requests for secretarial work to the Senior Pastor for consideration.
Skills Required:
1. Knowledge of:
a. Modern Office Procedures.
b. Business English, including vocabulary, correct grammatical usage, and punctuation.
c. Modern filing methods.
d. Operation of standard office equipment, including a computer.
e. Thorough working knowledge of the following computer programs: Microsoft Word, Microsoft Publisher, Microsoft Excel.
2. Ability to:
a. Meet the public tactfully and courteously, to answer questions in person or by telephone, and to route calls effectively.
b. Establish and maintain cooperative and effective working relationships.
c. Type with accuracy at a speed of not less than 60 words per minute.
d. Understand and carry out oral and written directions.
e. Formulate written communications with accuracy of facts and meaning.
f. Handle urgent and emergency situations as they arise.
g. Compile and maintain accurate and complete records and reports.
h. Make arithmetic calculations with speed and accuracy.
i. Be flexible and able to plan, organize, and complete assignments with a limited direction.
Experience Required: A minimum of five years of increasingly responsible secretarial and administrative experience.
