The Opportunity

We are seeking a Care Coordinator to oversee patient scheduling and guide patients through the Kinomatic care journey. This role is primarily responsible for coordinating appointments, ensuring patients complete required steps before surgery, and keeping surgical timelines on track.

The Care Coordinator serves as a key operational partner for patients, imaging centers, and internal/external care teams by managing scheduling logistics and removing barriers that may delay care. This operational role contributes to company growth by ensuring efficient scheduling, improving D2C patient engagement, and maintaining accurate records that support a seamless patient experience.

Responsibilities

  • Qualify and schedule D2C inbound leads with surgeon's offices.
  • Serve as a scheduling contact for patients, helping them understand required appointments and ensuring timelines stay on track for surgery.
  • Communicate with imaging centers and external partners to schedule scans and ensure appointments align with surgical planning timelines.
  • Maintain accurate and up-to-date patient records in Salesforce and other workflow systems, including scheduling updates and patient progress.
  • Collaborate with Account Managers, Patient Navigators, and other internal teams to resolve scheduling issues and support patient needs.
  • Assist patients with navigating scheduling logistics, payment portals, and other administrative steps required prior to surgery.
  • Identify scheduling bottlenecks or common patient barriers and provide feedback to leadership to improve coordination workflows.

Education

Associate's or Bachelor's degree in Healthcare Administration, Health Services, Public Health, Business Administration, or a related field preferred.

Relevant experience in healthcare scheduling, patient coordination, patient access, or clinical office administration may be considered instead of formal education.

Required Knowledge, Skills, and Abilities

  • Strong organizational and time management skills with the ability to coordinate multiple patient schedules simultaneously.
  • Excellent communication skills and ability to clearly guide patients through scheduling and preparation steps.
  • Experience maintaining accurate documentation in CRM, scheduling, or workflow systems (Salesforce preferred).
  • Ability to coordinate across multiple stakeholders, including patients, imaging centers, and internal teams.
  • Strong problem-solving skills with the ability to proactively resolve scheduling conflicts or delays.
  • High attention to detail and commitment to maintaining accurate scheduling records.
  • Ability to manage sensitive patient information with professionalism and confidentiality.
  • Comfort working in a fast-paced healthcare or health technology environment.

Preferred Qualifications

  • Experience working in patient navigation, care coordination, or healthcare operations.
  • Experience working with Salesforce, Asana, EHR systems, or other workflow management platforms.
  • Experience supporting orthopedic, surgical, or specialty care patients.
