Job Contributions and Key Responsibilities
General Office
* Enter and update data in internal systems and spreadsheets with accuracy
* Open, sort, and route incoming mail; prepare and track outgoing mail and packages
* Compile, copy, sort, and file physical and digital records in accordance with retention policies
* Answer phones, direct calls, and take messages professionally and courteously
* Operate office equipment including photocopiers, scanners, and postage machines
* Conduct basic document audits to verify completeness, accuracy, and compliance
* Assist with scanning, indexing, and archiving documents for digital recordkeeping
* Support HR tasks such as preparing new hire packets, collecting onboarding documents, and maintaining employee files
* Respond to basic HR inquiries or route them to appropriate personnel
* Assist with compiling reports for HR metrics, attendance, or compliance audits
* Help coordinate employee recognition activities and internal communications
* Maintain confidentiality of sensitive employee and company information
* Run errands and support interdepartmental requests, as needed
* Other duties as assigned.
Knowledge, Skills and Abilities
* High school diploma or equivalent.
* Minimum 1 year clerical experience or administrative experience
* Familiarity with basic HR processes and document auditing preferred
* Prioritize workload and manage time effectively
* Handle multiple tasks while meeting deadlines.
* Proficiently Proficient typing and data entry skills
* Strong proofreading and attention to detail
* High level of organizational skills and file management
* Ability to follow instructions and work independently or collaboratively
* Maintain professionalism and discretion in all communications
* Demonstrate sense of urgency and self-starter.
* Be flexible and open to change.
* Be reliable and dependable.
* Proficiently use Microsoft Office Suite
Education Level: High School Diploma or equivalent
Field/s of Education:
* General Office Administration
* Human Resources
* Business Support
Years of Experience:
* Minimum 1 year clerical experience.
Specializations, Certifications and Specific Experience:
* Experience supporting HR functions such as onboarding, file maintenance, or employee communications preferred
Licenses: If driving is a necessary part of a job employees are required to possess a valid driver's license.
Languages:
* English & Spanish >95%
Necessary Software:
* Microsoft Office Suite - Basic
Travel Requirements:
* Regular travel from one ranch to another
Pay Scale: $20.00 - $22.50
