Responsibilities

• Serve as Front Desk Coordinator and first point of contact for visitors, clients, and employees; manage front office operations and provide comprehensive administrative support
• Visitor Management & Security: Greet and welcome visitors professionally, verify identities per Zone 5 Technologies Visitor Policy, issue and track visitor badges, escort visitors as required, and administer the Envoy visitor management system
• Reception & Communications: Answer, screen, and direct calls; maintain a secure and professional front desk; manage incoming mail and packages; update office nameplates
• Office Operations & Support: Ensure conference rooms are prepared and stocked; assist with scheduling and setup for internal meetings and presentations; stock breakrooms and kitchen areas; assist with ordering office supplies, snacks, and catering; support travel arrangements and internal events

Qualifications

• Required: 2+ years of experience in reception, customer service, or administrative support
• Strong attention to detail and excellent organizational skills
• Ability to manage multiple tasks efficiently in a fast-paced technology environment
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams)
• Professional communication skills, both verbal and written
• Ability to maintain confidentiality and exercise discretion with sensitive information

Preferred Qualifications

• Experience with visitor management systems (Envoy preferred)
• Previous experience in technology or professional services environment
• Experience coordinating meetings and events

Compensation & Benefits

Pay range for this role: $25 - $33 USD
