Job Description Summary
This is a recruitment for a short-term/temporary position

TDEFINITION

Under general supervision, perform secretarial, clerical, and record keeping work; assist with the daily activities of initiating and providing health and wellness services to students, maintain health and related records; and perform other related duties as required.

DISTINGUISHING CHARACTERISTICS

The Health Services Assistant is distinguished from other classes in the clerical/secretarial series in that incumbents perform work related to student health and wellness, including maintenance of personal health records.
Incumbents in this position supports the overall mission of the college in the standard of quality, excellence and accessibility, by providing services and programs which promote student involvement to achieve academic and personal success. The incumbent plays a key role in assisting students with clinical care services, mental health services, communicable disease control, illness assessment and referrals, first aid treatment, self-care programs and health education resources.
The incumbent in this position supports institutional effectiveness and student learning outcomes by effectively assisting students in accessing student health services and in protecting the confidentiality of health services provided.

Essential Functions & Qualifications
As a substitute until the permanent position is filled, the job duties may be a subset of the below essential functions.

ESSENTIAL FUNCTIONS

  • Organize and oversee the day-to-day functions of assigned office;
  • Train and coordinate the work of clerical assistants and student workers;
  • Receive students in reception area in absence of clerical assistants;
  • Schedule specialty clinics, health-care provider visitations, and patient appointments using an Electronic Health Record (EHR);
  • Provide Student Health Services and community resource information in person and by phone;
  • Receive and maintain student charts and other health related material;
  • Receive, account for, and deposit cash from sales;
  • Distribute health education and printed materials to students;
  • Monitor inventory and order office, student, and event supplies;
  • Open and classify incoming mail and other information
  • Complete requisitions, work orders, facility use and other forms;
  • Assist the Director with the collection and submission of employee leave forms each month ;
  • Maintain computer files and clinic records;
  • Receive and process student medical insurance claims, and file accident reports;
  • Act as a liaison for Student Insurance claims processing;
  • Maintain current CPR and first aid certificate training;
  • Maintain confidentiality and ensure adherence to HIPAA and FERPA guidelines in Student Health Services;
  • Implement clinic form updates;
  • Demonstrate competency and act as an office lead with current college computer programs including Word, Excel, Banner, Dynamic Forms, MiCollab, Online Requisitions, and, PyraMED, and;
  • Record and transcribe notes and distribute minutes and agenda items for department meetings;
  • Assist with student survey distribution and data collection;
  • Assist with budget monitoring and planning;
  • Assist with the preparation of Institutional Program Planning and Review documents;
  • Work independently with a minimum of supervision; and
  • Perform other related duties as required.
QUALIFICATIONS

Education:

Preferred
  • Associate's degree;
  • Secretarial science, office management, and public relations courses.
Experience:

Required
  • Three years of increasingly responsible clerical/secretarial experience in a student services or public services environment involving frequent public contact.
Preferred
  • Experience in a health care setting.
Knowledge of:
  • HIPPA and FERPA guidelines;
  • Efficient record keeping;
  • Methods of writing correspondence and reports;
  • Current technologies, personal computer, and associated office software such as word processing, spreadsheet, presentation, and/or database software;
  • Electronic Health Records (EHR)
  • Correct usage of English, grammar, spelling, punctuation, and vocabulary; and
  • District policies and procedures.
Ability to:
  • Establish and maintain cooperative working relationships with those contacted in the performance of duties; and
  • Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and of staff and students with physical and learning disabilities.
  • Communicate effectively orally and in writing;
  • Maintain a variety of files
Physical ability to:
  • Read and comprehend printed matter and text and data on computer monitors;
  • Communicate intelligibly and effectively via speech, telephone, written correspondence, and/or email;
  • Sit or stand for extended periods of time;
  • Lift and/or carry 25 pounds; and
  • Exert manual dexterity sufficient for keyboard and other office equipment operation.
License and Certificates (current within the last year):

Required
  • Possess, or be able to obtain within 6 months, certificates in CPR and basic first aid.
  • Valid driver's license and eligible to obtain California driver's license upon hire.

Additional Information

This is a short-term/temporary position. Work schedule Monday-Thursday from 8:00am-4:30PM (In-Person) on the SLO campus.

Employees who work half-time or more are entitled to receive fringe benefits. The fringe allocation is money from the District to help cover the cost of insurance. Employees working half-time or more are eligible to participate in the District's medical, dental and vision insurance.

Employees with a work assignment of 50% to 74% of full time will receive one-half of the above stated fringe allocation.

If your insurance rate exceeds your fringe allocation, the balance will be deducted from your monthly payroll check. If the insurance plans selected cost less than the fringe allocation, any excess amount will be returned to the District. For more information about how fringe benefits are determined please refer to the collective bargaining agreement between SLO Community College District and Cuesta College Classified United Employees (CCCUE) or the Board of Trustees policy regarding management employees.
