Description:

Our client is a dynamic wealth management firm with a lively, collaborative atmosphere that fosters creativity and growth and they are hiring an Administrative Assistant to provide high-level support to the President. Position Overview:

As the Administrative Assistant to the President, you will be a trusted partner in managing daily operations, client relationships, and administrative functions. This role requires a candidate with a background and understanding in wealth management, strong organizational and communication skills, and the ability to handle sensitive information with the highest level of confidentiality and professionalism.


Key Responsibilities:

  • Serve as the primary point of contact for the President, managing schedules, meetings, and correspondence.
  • Handle client communications and inquiries, ensuring a high standard of service.
  • Coordinate and prepare materials for client meetings, including financial reports, presentations, and briefing documents.
  • Manage travel arrangements, including scheduling and logistics for domestic and international travel.
  • Manage client account information and update records in the CRM system.
  • Assist in the preparation of financial reports, presentations, and investment summaries.
  • Coordinate with custodians, brokers, and other financial institutions on behalf of clients.
  • Monitor and manage deadlines for account activities, including transfers, contributions, and withdrawals.
  • Handle confidential client information with the utmost discretion and compliance with privacy regulations.
  • Oversee key projects and initiatives on behalf of the President, tracking progress and deadlines.
  • Maintain and organize confidential client and company records, ensuring compliance with regulatory standards.
  • Assist with drafting, editing, and proofreading correspondence, presentations, and other documents.
  • Collaborate with other team members to ensure seamless office operations and client support.


Qualifications:

  • Minimum of 2-3 years of administrative experience, with at least 1 year in wealth management or financial services.
  • Bachelors degree
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Professional demeanor with excellent interpersonal skills.
  • Ability to prioritize and multitask effectively in a high-pressure environment.
  • Familiarity with wealth management processes, financial terms, and compliance standards.


This company offers a competitive compensation package that included a base salary of $95k -$100k with a strong bonus, full benefits, and mentorship & career growth opportunity.

This position is 100% in the office in West Los Angeles
