Description:

Key Responsibilities:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Handle confidential and time-sensitive information with discretion.
  • Organize and maintain files, records, and documents, ensuring easy retrieval.
  • Coordinate logistics for meetings, conferences, and events (both virtual and in-person).
  • Serve as a point of contact between executives and internal/external stakeholders.
  • Monitor and prioritize emails, calls, and other communications, responding or redirecting as necessary.
  • Assist with special projects as needed, ensuring timely and accurate completion.
  • Anticipate the needs of the executives and proactively handle any upcoming tasks or challenges.

Requirements:

  • Proven experience as an Executive Assistant or similar role, supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work across different time zones, primarily EST and PST.
  • Proficiency with office software (e.g., Microsoft Office, Google Suite) and virtual collaboration tools (e.g., Zoom, Slack).
  • High level of professionalism, integrity, and confidentiality.
  • Ability to manage multiple priorities and adapt to changing needs.
  • Flexibility to work outside of standard hours as needed.

Preferred Qualifications:

  • Experience working in a fast-paced, remote environment.
  • Strong problem-solving skills and a proactive mindset.
