Administrative Assistant
Location: Commerce, CA
Shift: 8:00am - 4:30pm (Monday - Friday)
Pay Range: $45,760 - $54,080 (depending on experience)

Position Summary

Performs a broad range of typing, clerical and administrative duties for Operations, Quality
Assurance and Human Resources. Working independently and with initiative with minimal direction.

Primary Duties & Responsibilities
ROLES AND RESPONSIBILITIES

  • Assist Plant Manager
    • To research information and complete product information
    • To research information regarding manufacturing process and equipment
    • On research and data entry for special projects/studies.
    • To maintain and track operation and manufacturing documents, including schedules and operation guides
    • Assist in Continuous improvement meetings and projects - experience should include management of such projects
    • Enter productions downtime to efficiency tracking software, produce daily reports by 9:30 am. Post weekly efficiency reports to production floor.
    • Creation of Shop Work Order packets (BOM, Specs)
    • Manager (POs, reports, capital spending tracking)
    • Daily update of performance measures (VFM)
  • Provide assistance to Operations
    • Daily consolidation, entry and tracking of production data - oil/spice/bread usage waste.
    • Consolidate weekly/monthly reports for operations
    • Assist all departments in gathering data and production of reports measuring Key Performance Indicators.
    • Provide assistance to Project Engineer (purchase orders)
    • Daily consolidation, entry and tracking of production data - oil/spice/bread usage. waste.
    • Consolidate weekly/monthly reports for operations
    • Backup for customer care representative
    • Relieve receptionist as required
    • Assist all departments in gathering data and production of reports measuring Key
  • Assist QA Manager
    • To research information and complete product spec for customer (initiated by customer request).
    • On research and data entry for special projects/studies.
    • To maintain and track distribution of Food Safety and Quality Expectations Manuals for Suppliers.
  • Assist Manager Human Resources
    • Assist in labor relations projects
    • Assist HR administrator in clerical functions
    • Assist in temp onboarding and check ins
    • Assist in translations and transcribing documents

All Areas:
  • Relieve receptionist as required
    • Assists in front office matters, phone messages, intra office mail and package delivery;
    • Assist in front office receptions tasks, checking in visitors following appropriate visitors protocols - communicating with SFC team
  • Handling of personal and confidential matters as requested.
    • Running errands as needed.
  • Supporting and complying with all company policies, procedures and directives.
  • Works effectively with workers in a constructive and positive manner.
  • Listens to and objectively considers ideas and suggestions from others.
  • Respects workers in actions, words and deeds.

Experience & Education
Minimum: High school diploma or G.E.D. required, and 3 years of Administrative Assistant experience

Required Skills
  • Advanced skills in Microsoft Excel and Power Point required: V-lookups, pivot tables and graphs.
  • Detail oriented (specifically focused on data accuracy and presentation).
  • Must be able to manage time efficiently and prioritize effectively.
  • Ability to work in a dynamic setting and work well under pressure is essential.
  • Strong organizational skills to track requests and deliverables and meet deadlines.
  • Must be pro-active and have good problem-solving skills.
  • Ability to work both independently and within a team setting.
  • Ability to learn quickly and desire to take on new challenges.
  • Strong desire to make continuous improvements in all areas of responsibility.
  • Ability to follow through and be resourceful.
  • QAD experience preferred
